During some of life’s most overwhelming moments, whether buying a first home, navigating probate after losing a loved one, or finalizing estate planning documents, people find themselves drowning in scattered paperwork with no clear sense of what comes next. Angela and Heather recognized this gap and envisioned AOK File Away as a platform designed to provide structure, clarity, and peace of mind during these critical transitions. By partnering with Chop Dawg, they designed a comprehensive non-functional prototype that enables service providers like real estate agents, probate attorneys, financial advisors, and insurance agents to deliver more than just deliverables. The platform allows providers to create branded, secure digital experiences where clients access organized folders, track checklists, sign documents digitally, and stay on top of tasks and deadlines. The result is a design foundation ready for investor presentations, user validation, and eventual development into a fully programmed minimum viable product.

When Organization Becomes a Gift: Introduction to AOK File Away

Consider a recently married couple going under contract on their first home. They receive an invitation from their real estate agent, download the app, and instantly find everything they need: closing checklists, signed agreements, inspection reports, and contact information, all organized and branded with their agent’s photo and brokerage logo. Or consider a family navigating estate settlement after losing a parent. Their probate attorney shares a folder containing required forms, deadlines, and responsibilities, keeping everyone updated and reducing friction during an already stressful time.

These scenarios represent the vision behind AOK File Away. The platform transforms scattered paperwork into personalized, branded, secure digital experiences tailored to each client’s life event. Service providers create default folder structures, document templates, and checklists that automatically populate when new clients are invited. Clients access everything through a mobile app, with the ability to view documents, complete checklist items, upload their own files, and digitally sign agreements. To bring this vision to life, Chop Dawg designed a fully interactive, clickable non-functional prototype capturing every key interaction and user journey, allowing stakeholders and testers to fully understand the platform’s flow before development begins.

Breaking Barriers to Impact: AOK File Away's Need for Branded Document Experiences

Before AOK File Away, service providers who wanted to share documents with clients relied on generic file sharing platforms that lacked organization, branding, and workflow management. A Dropbox folder might hold files, but it cannot track checklist completion, send deadline reminders, or display the provider’s contact information prominently. Clients receiving documents this way often felt overwhelmed rather than supported, unsure what needed their attention and what could wait.

AOK File Away needed to address multiple challenges simultaneously. The platform had to serve two distinct user types: service providers managing multiple clients through a web dashboard, and clients accessing their documents through a mobile app. Provider functionality required subscription management based on user count, custom branding with logos and contact information, default folder and checklist template creation, and granular access controls including expiration dates. Client functionality required seamless onboarding through invitation links, intuitive navigation of shared folders and files, checklist tracking with completion status, document upload capabilities, digital signature integration, and push notifications for updates and deadlines. The platform also needed to handle subscription transitions gracefully, allowing clients to maintain access through personal subscriptions if their provider canceled.

From the very first conversation, we understood that AOK File Away’s success depended on creating experiences that felt guided, clear, and low-stress for both service providers and their clients. Working closely with Angela and Heather, we developed detailed user personas representing service providers across industries like real estate, estate planning, and financial advising, alongside clients navigating major life transitions. We mapped how each persona moves through the platform, from receiving an invitation to managing folders, completing checklists, and accessing documents.

Figma served as our collaborative design hub where wireframes evolved into polished, high-fidelity screens with careful attention to emotional tone: professional, intuitive, and trustworthy. Weekly Zoom meetings kept all stakeholders aligned as we iterated on complex features like permission management, subscription tier transitions, and branded folder experiences. A consulting programmer reviewed all proposed user flows to ensure every design decision was technically feasible and scalable for future development. By the time the non-functional prototype was complete, it captured not just screens but the entire experience of using AOK File Away, ready for partner demonstrations, user testing, and development planning.

AOK File Away presents shared documents through an organized, branded experience that reinforces the service provider’s identity. Clients see their provider’s name, photo, title, company logo, and contact information prominently displayed, with tap-to-call and tap-to-email functionality for immediate access. The file explorer interface displays folders and subfolders organized by category or life event, with documents listed alongside metadata including file names, types, and last modified dates. Clients can open files in an in-app viewer with pinch-to-zoom and swipe navigation, download documents for offline access, and upload their own files into shared folders. The branded experience transforms generic file sharing into a personalized, professional touchpoint that builds trust and keeps essential contact information always accessible.

Interactive Checklists with Completion Tracking and Reminders

Beyond document storage, AOK File Away helps clients stay on top of tasks and deadlines through interactive checklists. Service providers create checklist templates with items like “Upload Health Directive” or “Sign Closing Documents,” each with optional instructions and reminder timing. Clients see their checklists within the app, marking items complete as they finish tasks. Progress indicators show completion status at a glance. Push notifications remind clients of approaching deadlines or incomplete items, ensuring nothing falls through the cracks during busy or stressful periods. The checklist functionality transforms AOK File Away from passive storage into active guidance, helping clients understand not just what documents they have but what actions they need to take.

Beyond the mobile client experience, we designed a comprehensive web-based dashboard that gives service providers complete control over branding, content templates, client management, and subscription administration.

Digital Signature Integration with Secure Document Handling

AOK File Away streamlines document execution through integrated digital signature capabilities. Documents requiring acknowledgment, signature, or approval display “Signature Required” tags, and clients can launch the e-sign interface directly within the app. The signature capture supports both drawing and typing options, with timestamp recording and optional geolocation tagging for verification. Signed documents are stored securely and downloadable for personal records. Integration with services like DocuSign or HelloSign ensures signatures meet legal standards across industries. This functionality eliminates the friction of printing, signing, scanning, and returning documents, allowing clients to complete critical paperwork from their phones in moments.

Default Folder, File, and Checklist Template Management

The provider dashboard enables creation and management of default content libraries that automatically populate for each new client. Providers create folder structures organized by category or workflow stage, upload template documents into appropriate locations, and build checklists with individual items, instructions, and reminder timing. Drag-and-drop functionality allows easy reordering of folders and items. When a new client is invited, they receive a fully populated workspace reflecting the provider’s best practices and organizational structure. Providers can also customize content for individual clients, adding, removing, or modifying documents and checklist items based on specific needs. This template-based approach ensures consistency across clients while maintaining flexibility for unique situations.

Client Invitation, Access Management, and Activity Monitoring

The provider dashboard provides comprehensive client management capabilities. Providers invite clients by entering names, emails, and roles, with optional access expiration dates for time-limited engagements. Invitation status tracking shows whether clients are active, pending acceptance, or expired. Providers can resend invitations, revoke access, or extend expiration dates as circumstances change. Activity logs display time-stamped records of all client actions including uploads, downloads, and checklist completions, filterable by folder, file type, or date. Notification preferences allow providers to configure how alerts are sent, whether through email, SMS, or push, and which events should trigger communications. This visibility ensures providers stay informed about client engagement without requiring manual follow-up.

    Together, we designed every interaction to feel guided and approachable, recognizing that many clients would be non-tech-savvy individuals navigating stressful situations. Registration flows use invitation-based onboarding with pre-filled information to reduce friction. In-app navigation uses familiar patterns with clear visual hierarchy. Error messages provide actionable guidance rather than technical jargon. Loading states and transitions maintain user confidence during background processes. The onboarding sequence introduces key features through brief, skippable slides. Empty states explain what will appear when content is added. Every design decision prioritized clarity and emotional reassurance, ensuring users feel supported rather than overwhelmed.

    Throughout the design phase, a consulting programmer reviewed all proposed user flows to ensure technical feasibility and scalability. The architecture was planned to support future enhancements including PDF export for trusted family members, temporary access links for emergency situations, co-editing permissions between spouses or power-of-attorney agents, version tracking and history logs, automated reminder nudges, white-labeling for enterprise partners, and AI-assisted categorization based on life events. While these features exceed the MVP scope, designing with their eventual integration in mind prevents costly rework later. The non-functional prototype establishes a foundation that can evolve as AOK File Away grows across industries and use cases.

    Beyond the application design, we created comprehensive brand assets to support AOK File Away’s market presence. Custom logo design went through low-fidelity exploration to high-fidelity refinement, resulting in an identity that communicates organization, empathy, and professionalism. The final logo was delivered in every format needed for commercial use: black and white versions, full color, vector-based scalable formats, PNG and JPG for digital use, and raw design files for future modifications. App icon designs ensure visual distinction in crowded mobile home screens while maintaining brand consistency. Up to eight high-impact marketing graphics showcase core features for App Store and Google Play listings, designed to instill trust and communicate immediate value to new users.
